Operations Associate
ROLE
– Support the smooth running of day-to-day operations, including calendar management, travel arrangements, meeting coordination, and appointment setting.
– Review, prepare, and generate documents such as meeting minutes, contracts, reports, presentations, letters, and internal memos.
– Assist with HR-related tasks, including recruitment coordination, payroll support, employee records, and staff onboarding and offboarding.
– Support operational tasks such as research, supplier coordination, procurement support, inventory tracking, and event planning.
– Manage office administration needs, including supplies, equipment, filing systems, document organization, and vendor coordination.
– Coordinate CEO and team travel requirements, including flights, accommodation, transportation, itineraries, and reimbursements.
– Ensure deliverables, reports, trackers, and internal records are properly organized, updated, and submitted on time.
– Help improve internal processes, documentation, and administrative workflows.
– Maintain, review, and organize records of all financial transactions, including reimbursements, expenses, payroll, supplier payments, and other company-related costs.
– Prepare and submit weekly and monthly financial reports, cash flow updates, expense summaries, and other finance-related trackers.
– Perform account reconciliations, update accounts payable and receivable, and issue invoices when needed.
– Reconcile accounting reports and ensure financial records are accurate, complete, and up to date.
– Coordinate with external accountants, auditors, banks, suppliers, and government agencies as needed.
– Support compliance with local regulatory requirements, including mandatory contributions, VAT/EWT payments, annual renewals, permits, and other filings.
– Assist in preparing payment requests, liquidation reports, receipts, and supporting documents.
– Help monitor company budgets, recurring expenses, and payment deadlines.
– Perform other duties as assigned.
REQUIREMENTS
– Degree in Business, Management, Accounting or related disciplines
– At least 2-3 years experience
– Ability to meet deadlines in a fast-paced work environment
– Excellent attention to detail, organizational and people skills.
– Demonstrated ability to think independently and recommend best practices
– Superior organization, prioritization, and self-motivation skills.
BENEFITS
– Salary range: 30-35k/month
– Hybrid schedule: Tues-Thurs on site, Mon/Fri depending if CEO is in Manila
