Sr. Executive / Dy. Manager – HR & Admin

ROLE
– Stay updated with all applicable labour laws, statutory regulations, and government notifications
– Ensure organizational compliance with all applicable labour laws, factory regulations, and statutory requirements
– Maintain and update statutory registers, notices, records, returns, and compliance documentation
– Coordinate with consultants, auditors, labour authorities, and government officials during inspections and audits
– Support implementation and monitoring of labour code and wage code related compliance changes
– Ensure timely renewal and maintenance of statutory licenses, registrations, and certifications
– Oversee contract labour deployment, attendance, documentation, onboarding, and compliance monitoring
– Ensure contractors comply with statutory obligations including PF, ESIC, wages, bonus, insurance, and labour licenses
– Verify contractor bills, wage registers, statutory challans, and manpower records
– Conduct periodic compliance audits for contractor workforce and maintain compliance tracker
– Coordinate with user departments regarding manpower planning and deployment requirements
– Monitor contractor discipline, hygiene, safety compliance, and workplace conduct
– Facilitate employee enrolment, exits, transfers, and documentation under PF and ESIC schemes
– Coordinate for timely submission of PF/ESIC related records and statutory filings
– Assist in payroll inputs related to attendance, leave, statutory deductions, and labour compliance
– Support implementation and monitoring of wage structure alignment as per wage code requirements
– Address employee queries related to PF, ESIC, labour welfare, and statutory benefits
– Coordinate and manage apprenticeship programs under NATS and NAPS
– Manage apprentice onboarding, registration, documentation, stipend processing, attendance, and compliance activities
– Maintain apprentice records, contracts, assessments, and periodic reporting
– Coordinate with departments for apprentice deployment, training schedules, and evaluation processes
– Ensure compliance with Apprentices Act and related statutory requirements
– Supervise overall facility administration activities including office administration, plant housekeeping, cafeteria/canteen coordination, transport coordination, guest and visitor management, and utility management
– Monitor utility consumption and support implementation of cost optimization initiatives
– Ensure workplace cleanliness, hygiene, and upkeep across office and plant premises
– Supervise housekeeping personnel and ensure maintenance of hygiene standards across the facility
– Conduct periodic inspections of washrooms, cafeteria, meeting rooms, shopfloor common areas, and utility areas
– Manage security operations including gate management, visitor monitoring, material movement control, access control systems, and employee safety coordination
– Ensure implementation of visitor management protocols and security guidelines
– Coordinate emergency response support during incidents and emergencies
– Support employee welfare initiatives, engagement activities, and employee communication programs
– Coordinate employee health check-up programs, welfare activities, and statutory welfare measures
– Maintain accurate records related to HR, administration, labour compliance, contractors, apprentices, and facility management
– Prepare MIS reports, compliance dashboards, audit reports, and management presentations
– Support internal audits, customer audits, statutory audits, and certification audits
– Ensure proper documentation and archival of compliance and administrative records

REQUIREMENTS
– MBA / MSW / PGDM in HR / Personnel Management / Industrial Relations
– Knowledge of labour laws, labour codes, and statutory compliance
– Hands-on experience in contract labour management
– Knowledge of PF, ESIC, Factory compliance, and wage administration
– Exposure to NATS/NAPS apprenticeship management
– Strong administration and facility management capability
– Vendor and contractor coordination skills
– Good documentation and MIS reporting skills
– Strong interpersonal and coordination abilities
– Proficiency in MS Office and HRMS systems
– Strong analytical and problem-solving skills with attention to detail
– Exceptional communication and interpersonal abilities
– Ability to handle sensitive and confidential information with discretion
– Proactive, self-motivated, and able to work effectively under pressure
– Demonstrated ability to meet deadlines and manage multiple tasks simultaneously
