ROLE
– Manage end-to-end HR administration functions related to appointments, contracting, onboarding, employee records, payroll coordination, staff benefits, insurance, HR reporting, and separation processes for staff and other personnel

REQUIREMENTS

– Strong knowledge of HR administrative processes, employment contracts, onboarding, personnel records management, payroll coordination, staff benefits, and HR compliance
– Demonstrated experience working with ERP systems and digital HR platforms
– Experience in maintaining confidential HR records and handling sensitive employee information with professionalism and discretion
– Strong organisational and coordination skills
– Excellent analytical, reporting, and documentation skills
– Strong interpersonal and communication skills
– Ability to identify process improvement opportunities and contribute to the streamlining and digitalisation of HR operations

Position Overview
Under the guidance of the Head of HROD, the position is responsible for managing end-to-end HR administration functions related to appointments, contracting, onboarding, employee records, payroll coordination, staff benefits, insurance, HR reporting, and separation processes for staff and other personnel. The role ensures timely and compliant contract administration, maintenance of accurate HR records, efficient onboarding and employee services, and effective coordination with Finance and other units on payroll, benefits, and workforce matters. The position also supports HR process improvement and digitalisation initiatives, contributes to workforce analytics and reporting, and upholds high standards of
professionalism, confidentiality, service delivery, and compliance
in all HR operations.
Requirements
Person Specification/Competencies
Bachelor’s degree in Human Resources, Business Administration, Management, or a related field; a Master’s degree will be an advantage.
Minimum 5 years of progressively responsible experience in HR administration, operations, or personnel management, preferably in an international or multicultural organisation.
Strong knowledge of HR administrative processes, employment contracts, onboarding, personnel records management, payroll coordination, staff benefits, and HR compliance.
Demonstrated experience working with ERP systems and digital HR platforms, with strong attention to data accuracy and process efficiency.
Experience in maintaining confidential HR records and handling sensitive employee information with professionalism and discretion.
Strong organisational and coordination skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Excellent analytical, reporting, and documentation skills, including preparation of HR reports, trackers, and workforce data.
Strong interpersonal and communication skills, with the ability to provide high-quality employee support and collaborate effectively across teams.
Ability to identify process improvement opportunities and contribute to the streamlining and digitalisation of HR operations.
High level of integrity, accountability, professionalism, and customer-service orientation.

Remuneration
This is a national position at ICIMOD. The starting annual gross salary for this position is
NPR 1,388,727/-
(
negotiable based on experience and qualifications
). Gross salary comprises of basic salary, provident fund, and family/post adjustment allowance. We offer a comprehensive compensation package which includes a basic salary, provident fund, family/post adjustment allowance, child/dependency allowances, insurances (medical, life and accidental), children’s education grant for a maximum 2 children below 18 years of age, severance pay, paid leave (30 holidays and 10 public holidays per year) and day care facility.
